Going digital as a tour operator: how to bring your team along
For a tour operator, going digital is a cultural change before it is a technical one: the questions your team asks, where to start, one place for the facts.

From the outside, going digital as a tour operator looks simple: choose a software platform, import the information and start using it. Anyone who works in incoming tourism every day knows the real change goes deeper. Digitalisation in tourism is not about replacing a spreadsheet with a platform. It means reviewing processes, changing habits and helping the whole team adopt a new way of working.
We went through this transition ourselves
Before we built TourOperate, we worked for years as a tour operator. It was not easy at first. We ran part of our operations with spreadsheets, emails, folders and WhatsApp messages. Each tool met a specific need, but the information ended up scattered across different channels.
While bookings were few, the system held up. With more tours, more departure times, more suppliers and more passengers, the complexity grew too: every day needed more checks, more emails and more time spent copying information. It was clear we had to change.
Going digital is, above all, a cultural change
The most important lesson was this: digitising a company is not only a technological decision. The team has to leave familiar routines behind and learn a new way of organising the work. Even when the old system is slow or inefficient, giving it up takes effort, because it is part of everyone’s routine.
So it is normal for questions to come up:
- Will the new tool work?
- Could we lose information?
- Will preparing our services get harder?
- Will we have to change all our processes?
- Will the team be able to adapt?
These doubts are part of any transformation. The key is not to avoid resistance but to support the team through the change and explain clearly why it is happening. Going digital should feel like help, not like something imposed.
Answer the questions before you start
Each question deserves a concrete answer, given before the first day with the new tool, not after. Two examples, with the answers that apply to TourOperate:
- “Could we lose information?” It is worth knowing where the data stays. Bookings stay in Bókun: TourOperate connects to it read-only, and bookings link themselves to their departure, the tour on that day at that time, without importing anything by hand.
- “Could something wrong go out to our staff?” Before you send a guide or a driver the email with their day, you see the preview, which is the actual message. Nothing goes out until you decide.
Start small
People accept a change more easily when they see it working on something concrete. Instead of moving the whole operation in one go, you can start with one tour and a few people, and widen it once the method is clear to everyone. That also answers “will we have to change all our processes?”: not all of them, and not all at once.
TourOperate’s guided setup follows the same idea. It connects Bókun, registers your company, sets up your first tour and adds your first resource. The other tours stay marked as needing a profile until you get to them, and if you stop halfway, you pick up at the first step still to do.
One place for the information
Resistance drops when the new tool takes work away instead of adding it. That only happens if it becomes the place where everyone looks for information, not one more archive next to the spreadsheets and the chats.
In TourOperate each colleague has their own account and the whole team sees the same workspace. Bookings, resources and files are linked to the day’s departures, so a question like “who is running tomorrow’s 09:15 tour?” has one answer, the same for everyone. Which tasks move there, one by one, is covered in our guide to tour operator software.
Software helps, people lead the change
Whoever decides to go digital has a job no tool can do for them: explaining why, listening to the doubts and giving the team time to learn. Software can make the move easier; what makes it work is a team that understands the point of it. And for questions about the tool itself, TourOperate’s support is there.
