Save time running tours: beyond spreadsheets, emails and folders
Save time after the sale: where it goes between spreadsheets, emails, chats and folders, and what changes when each person gets one message for their day.

A confirmed booking doesn’t mean the work is done. For the operations team, it is often just the beginning. Passenger names have to be collected, lists prepared, guides assigned, information sent to suppliers, the right tickets found and invoices checked.
If you want to save time running tours, the first step is to see where that time goes.
Where the time goes after a booking
Take a booking for four people that comes in the evening before, for the 09:15 tour. When everything is handled by hand, that booking makes a tour of the office:
- a row is added to the day’s spreadsheet;
- the message to the guide is rewritten in the chat, with the new numbers;
- the updated list is emailed again to the coach company;
- the voucher is hunted down in the shared folder and forwarded to whoever needs it.
None of these steps is hard. The problem is that there are four of them, in four different places, and each one is a chance to get something wrong: a name copied badly, a ticket that can’t be found, a list sent in an outdated version. One of those mistakes is enough to spoil the experience of a customer who paid for a flawless service.
The work nobody sees
The problem isn’t a lack of effort but how that effort is spent. Every morning the team gives its best hours to copying data from one place to another, rebuilding documents that already existed and confirming over the phone things that should already be clear.
It is invisible work: it doesn’t improve the product and the customer never notices it, yet it fills part of the day. And it grows with the number of services: more tours, more times and more suppliers mean more trips between spreadsheets, emails, chats and folders. In the long run, this work is what decides how many services the operation can take on without strain.
Saving time isn’t working faster
Saving time doesn’t mean doing the same things more quickly; it means removing the steps that shouldn’t exist. When each booking’s information arrives already organised, the team stops rebuilding it every time and can focus on what adds value: the quality of every experience.
The most expensive step is usually the last one: getting each person the part that concerns them.
One message for each person’s day
In TourOperate, bookings come from Bókun and link themselves to their departure, the tour on that day at that time. From there, instead of one message for every change, each assigned staff member receives their daily pack: a single email with all their departures for the day, the files you meant for them and a link to their schedule.
Back to the booking that came in the evening before:
- The guide. If the new booking changes their day after the email went out, their email shows as not up to date: you check the preview and send the update.
- The coach company. Partners receive one email a day listing all their services, with each passenger’s name and the customer’s contact details. From the email they open the list page and download the .xlsx file. If something changes, you send them the updated list again.
- The voucher. It is attached to the 09:15 departure instead of the shared folder, and goes out with the daily pack of the guide you meant it for.

After sending, you see whether each staff member’s email was sent, delivered and opened.
Your booking system stays where it is
TourOperate doesn’t replace your booking system: it complements it. Bókun remains the commercial engine, the one that sells, manages availability and collects bookings. TourOperate handles what happens after the sale, the band of work that until now lived scattered across spreadsheets and emails, and brings it into one workflow. The other tasks of this stage, from passengers to guides’ costs, are covered in our guide to tour operator software.
The goal is simple: less time copying information and more time checking the quality of the services. If the change worries you more than the tool, we have also written about bringing your team along when going digital.
Stop running your tours across spreadsheets, emails and folders. Focus on what really matters: that every customer gets the experience they booked.
